Merging Orders And Quotes
This FAQ will go over how to merge purchase orders, sales orders, and quotes in Paradigm. Quotes and sales orders that are marked as completed or released cannot be merged into other orders.
See this FAQ on splitting quotes and orders: Splitting Orders and Quotes
Merging Sales Orders & Quotes
To do this, start by going to the sales order that the transaction is going to be merged into. Then click the “Open Quotes” button in the header.
A list of quotes for that customer will appear. Click the check box beside “Display Orders” will show all the open orders as well.
Check the box beside the quotes and orders to merge and click “Add Selected”.
Those transactions will then be marked as complete and the items will be added to the current order.
Merging Purchase Orders
To do this, start by going to the purchase order that the transaction is going to be merged into. Then click the “Open Orders” button in the header.
A list of purchase orders and request for quotes for that vendor will appear.
There are 3 check boxes above the list that can be used to show or hide rows.
- Show Released POs
- When this is unchecked, POs that have been released will be hidden from the list, and only unrelease POs will show.
- Display POs
- Unchecking this box will remove all POs from the list, leaving only Request For Quote items.
- Limit to Same Job
- When this box is checked, the only items that will show in the list are items that have the same “Job ID” value.
- If the purchase order was created from an order that’s for a job, it will have been assigned the Job ID.
- If there is no Job ID on the current purchase order, other orders that also have no Job ID will show when this box is checked.
Check the box beside the purchase orders or RFQs to merge and click “Add Selected”.
The items from the selected purchase orders and requests for quote will be added to the current order, with a comment line that indicates the original transaction from which it came. The original transactions will be automatically marked complete by Paradigm.
