Using the Payroll Import

This FAQ will go over how to use the payroll importer, which can be done by can be done by exporting a .csv file from either QuickBooks or QuickBooks online and then importing it. If the import has not been setup yet, follow the steps in this FAQ to set it up: Payroll Import Setup

QuickBooks Desktop

When utilizing QuickBooks Payroll with Paradigm Accounting, the QuickBooks Payroll Detail Report can be exported to a .csv file and imported as a journal entry In Paradigm.

  1. After Completing a Payroll in QuickBooks, go to the Reports Menu > Employees and Payroll Section > and click “Payroll Item Detail”.
  2. Set the Report Date to the Pay Date of the Payroll and click “Refresh”.
  3. After the correct payroll data is displayed on the screen, click the Excel toolbar button and click “Create New Worksheet”.
  4. When prompted to Send to Excel, click “Create a comma separated values (.csv) file”. – It cannot be exported as another file type and then saved as a .csv file.
  5. Click Export and Save the File. Saved files cannot be opened before the import (since Excel reformats them) and resaved.
  6. Navigate to the Paradigm QuickBooks Payroll File Import page, which is saved as a shortcut in the installers folder.
  7. Click “Choose File” and select the raw file exported from QuickBooks and it will automatically upload.
  8. If the Upload/Import is Successful, a Paradigm GL Journal number will be displayed.
  9. Go to the Paradigm > General Ledger > Journal Entries and locate, review, and post the Journal Entry.

QuickBooks Online

When utilizing QuickBooks Online Payroll with Paradigm Accounting, the QuickBooks Online Paycheck History and Payroll Summary By Employee Reports can be exported to an Excel file and imported as a Journal Entry In Paradigm.

  1. After completing a Payroll in QuickBooks Online, go to the Reports > Payroll section and click Paycheck History. Verify the correct Pay Date is selected and then click “Share/Export to Excel” and save the Excel file.
  2. Return to the Reports > Payroll section and click Payroll Summary By Employee. Verify the correct Pay Date is selected and then click “Share/Export to Excel” and save the Excel file.
  3. Navigate to the Paradigm QuickBooks Payroll File Import page, which is saved as a shortcut in the installers folder.
  4. Click the first “Choose File” button and select the “Paycheck History” File exported in Step 1.
  5. Click the second “Choose File” button and select the “Paycheck Summary By Employee” File exported in Step 2.
  6. Click the “Import” button.
  7. If the Import is Successful, a Paradigm GL Journal number will be displayed.
  8. Go to the Paradigm Journal Entry screen and locate, review, and post the Journal Entry.

QuickBooks Online – Payroll Only

  1. To export the IIF payroll file in QuickBooks Online, go to the Gear icon.
  2. Choose Payroll settings.
  3. Select the Pencil icon next to Export.
  4. Choose QuickBooks Desktop for Windows: downloadable IIF (Intuit Interchange Format) file and select Continue.
  5. You will be asked to type in the name of each account you are exporting your liabilities and expenses to. We also suggest that you have a copy of your QuickBooks chart of accounts handy for this.
  6. Once the IIF file has been obtained, navigate to the Paradigm QuickBooks Payroll File Import page, which is saved as a shortcut in the installers folder.
  7. Click “Choose File” and select the IIF file exported from QuickBooks and it will automatically upload.
  8. If the Upload/Import is Successful, a Paradigm GL Journal number will be displayed.
  9. Go to the Paradigm > General Ledger > Journal Entries and locate, review, and post the Journal Entry.
